Booking, Cancellation & No-Show Policy

This policy explains how bookings work on GigArmy and what is expected if plans change. It forms part of our Terms & Conditions.
1. When a booking is confirmed
A booking is confirmed only when GigArmy shows it as confirmed. That happens when:
- a venue confirms a performer's application and the performer confirms too;
- a performer accepts a venue's invitation;
- a venue confirms a performer who responded to an SOS request, or books an available performer for SOS cover;
- an event organiser accepts a supplier's quote in Build My Event.
Applications, invitations, quotes, pending offers and chat messages are not bookings and create no obligation to perform or pay.
2. What a confirmed booking means
The agreement is between the venue or organiser and the performer — GigArmy is not a party. Each side should honour the details shown on the booking (date, start time, duration, fee, payment method, equipment) and anything else agreed in GigChat.
- Performers: arrive on time, perform as described, bring agreed equipment in safe condition, and follow reasonable venue rules.
- Venues and organisers: provide safe access, the agreed facilities and the agreed fee by the agreed method and time.
3. Material changes
If either side needs to change something material (date, time, fee, set length, location or equipment), agree it in GigChat so there is a record. If you cannot agree, either side may cancel under section 4.
4. Cancelling
Cancel through GigArmy as early as possible, with a short reason. This releases the date in calendars and, for venues, lets you raise an SOS request for cover. GigArmy records when the cancellation was made and how much notice was given.
GigArmy does not currently impose cancellation fees. Any cancellation fee, deposit or refund is a matter for the agreement between the two parties. We recommend agreeing these terms in GigChat before confirming.
5. No-shows and late cancellations
Failing to turn up, or repeatedly cancelling at short notice without good reason, harms other members. You can report it in the app. After human review we may issue a warning or strike, limit features or suspend an account. Genuine emergencies (illness, accidents, travel disruption) are taken into account.
6. Disputes
Try to resolve disagreements directly first. You can report a problem to us and we will look at the records we hold (booking details, GigChat, cancellation records) and may take action on accounts, but we cannot decide contractual claims or force payment between parties. Consumers keep their statutory rights against the business they booked.
